Power QMS + Encodian Flowr: enrich documents in an automated way
Why combining Power QMS with Encodian Flowr unlocks far more document enrichment than out-of-the-box SharePoint and Power Automate – including licence cost and flexible reuse across other use cases.
What this is about
In quality management it often comes down to what is on and inside the document: version stamp, release note, "invalid in printed form" watermark, classification, header, footer, attachment references. This is exactly where the out-of-the-box capabilities of SharePoint and Power Automate fall short – and where Encodian Flowr as a connector for Power Automate fits in.
Power QMS makes sure documents are properly controlled, versioned, released and distributed. Encodian Flowr extends this lifecycle with automated processing of the document content itself – without any employee opening Word, Adobe Acrobat or a third-party tool.
What SharePoint + Power Automate can do out of the box
The native platform already covers a lot – but not everything:
- Versioning & approvals: present, robust
- Setting metadata: present
- Convert Office file to PDF: only via OneDrive/SharePoint conversion, with limitations (no reliable conversion of complex Word templates, no merging of multiple files)
- Add watermark, header, footer or stamp to a PDF: not possible
- Extract, split or merge PDF pages: not possible
- Fill PDF form fields: not possible
- Populate Word/Excel templates: very limited via "fill Word template" with content controls
- OCR on scanned documents: only via AI Builder (separate licence, credit-based)
Anyone planning honestly will quickly notice: as soon as a document needs to be distributed as a "released PDF with watermark, version stamp and approval footer", Power Automate alone is no longer enough.
What Encodian Flowr adds
Encodian Flowr is a certified premium connector for Power Automate with more than 175 document-related actions. The most important building blocks for QMS:
- Word/Excel/PowerPoint to PDF – reliable, also for complex layouts, with configurable PDF quality
- Watermarks & stamps (text and image, dynamic per page, with version number and release date)
- Header & footer with dynamic placeholders (e.g. "Version 3.2 – released on 5 May 2026")
- Merge, split, extract or delete PDF pages
- Fill PDF forms (AcroForm), incl. digital signature fields
- Protect PDFs (password, permissions like "allow print, deny edit")
- OCR on scanned PDFs, with language detection
- Populate Word templates with dynamic data (e.g. from SharePoint lists, Power QMS metadata)
- Compare two documents with change highlighting
- Process images (resize, compression, format conversion)
Every one of these actions is a Power Automate step – directly usable in existing flows, no code, no local server, no PDF libraries.
Concrete use cases in Power QMS
1. Automatic enriched release document
As soon as a document is finally released in Power QMS, the workflow generates either:
- a PDF from the Word master, or
- the same original format (Word stays Word, Excel stays Excel, PowerPoint stays PowerPoint) – with watermark, header/footer and version stamp applied directly inside the Office file
- watermark with version number and release date
- footer with "Only valid on the day of printing"
- stored as a controlled, read-only document in the distribution area
This keeps the target format flexible: PDF when readability and audit consistency matter most – original format when recipients should keep working in the familiar Office app, e.g. for templates, checklists or fillable forms.
2. Per-page version stamp
Every page of a released document automatically receives a side stamp with site, process ID and version number – exactly as auditors expect, without manual maintenance.
3. Watermarks for inactive & withdrawn documents
As soon as a document changes status in Power QMS, the workflow automatically applies a clearly visible watermark across every page – in the PDF as well as in the original format. Typical status stamps:
- "INVALID" for superseded documents, with the date of invalidity and a pointer to the successor version
- "DRAFT" for documents under revision, so that copies floating outside the QMS are not mistakenly treated as valid
- "ARCHIVED" for historical versions that must be kept for regulatory reasons but must no longer be applied
- "PRE-RELEASE – not for use" for documents already approved but not yet effective (e.g. with a future effective date)
- "CONFIDENTIAL" or "INTERNAL ONLY" as classification stamps, fed dynamically from the Power QMS metadata
This way, even a file that has been forwarded by email, printed or saved locally remains clearly identifiable as non-active – a key concern of every auditor.
4. Centrally managed company logo in header & footer
Instead of maintaining the logo manually in every Word template and every existing file, Encodian injects the current logo at runtime into the header and/or footer of each released document – in the PDF as well as in the original format. The image source lives centrally in a SharePoint library.
Especially valuable for:
- Rebranding: replace the logo once in the central library – all future releases automatically appear in the new corporate identity, without retouching hundreds of documents
- Subsidiaries & sites: dynamically inject the matching logo (group vs site logo) based on document metadata
- Co-branding: add the respective partner logo for supplier or customer documents
- Acquisitions: after takeovers, legacy documents can be re-run through the workflow with the new logo, without touching the content itself
5. Unified footer across all documents
Instead of every department maintaining its own footer in Word templates, Encodian generates the footer centrally at runtime and writes it consistently into every released document – PDF as well as original format. Content such as company name, legal form, address, VAT/UID number, confidentiality level, document ID, version number, release date and page number ("Page X of Y") is fed dynamically from SharePoint metadata. Changes (e.g. new address, updated legal form, new VAT ID) only need to be maintained in one single place – all future releases pick this up automatically, without having to update templates or legacy documents.
6. Multilingual footer based on document language
The workflow detects the document language from a metadata field (e.g. "Language": DE/EN/FR/IT) and inserts the matching footer text in the correct language – including translated labels such as "Page", "Version", "Released on", "Confidential" or compliance notices ("This document is controlled according to ISO 9001"). Especially valuable for international organisations with sites across multiple language regions: one and the same workflow template serves all language variants, without having to maintain a dedicated Word template per language.
7. Universal format conversion to PDF (over 70 formats)
Encodian Flowr converts more than 70 different file formats to PDF in an automated way – far beyond what native Office tools can handle. This makes it possible to integrate content into the QMS dossier that would otherwise sit around in SharePoint as a foreign format:
- Emails (.msg, .eml) including attachments – e.g. supplier approvals, regulatory correspondence or acceptance protocols straight from Outlook into the audit dossier
- Images & photos (.jpg, .png, .tiff, .heic) – e.g. photographic evidence from incoming-goods inspections, on-site audits or complaints
- Microsoft Visio (.vsd, .vsdx) – process and flow diagrams as audit-ready PDFs, without auditors needing Visio installed
- CAD & technical drawings (.dwg, .dxf) – construction and plant drawings archived in a readable form
- AutoCAD, Project, Publisher files as well as numerous image, text and web formats (HTML, RTF, ODT, etc.)
The result is a uniform PDF archive – regardless of the original program in which the document was created. Auditors receive all evidence in a consistent, long-term readable format, and the QMS stays independent of vendor-specific viewers.
Why this is a real advantage over native tools
- No custom code, no Azure Functions, no PDF libraries in your own codebase
- No separate server infrastructure – Encodian runs as a SaaS connector
- Consistent results – the PDF engine is deterministic and suitable for compliance use
- Audit-friendly – every action is logged in the Power Automate run
- Low maintenance – action updates come from Encodian, not from your IT team
- Productive immediately – workflows in hours instead of weeks of in-house development
Licensing & cost – an honest calculation
Encodian Flowr is a commercial premium connector, not included in the standard Power Automate licence. The model is tenant-based, not user-based:
- Licence per tenant with a quota of action runs per month
- Entry packages typically start in the low three- to four-digit range per year
- Higher packages (for organisations with tens of thousands of documents/month) scale accordingly
- No per-end-user licence – any number of employees and flows can use the connector as long as the action quota is sufficient
- A Power Automate Premium licence is additionally needed for flows using premium connectors (either per-user or per-flow plan)
In practice the total cost for a mid-sized company with an active QMS sits in the mid four-digit range per year – including Power Automate Premium and Encodian. That is significantly cheaper than building and running an own PDF pipeline (server, maintenance, PDF library licences, developer hours).
Important: the quota is tenant-wide
The big economic lever is that Encodian is not limited to Power QMS. Once licensed, the connector is available to the entire tenant – any department can use it for its own workflows.
Reuse beyond Power QMS
Typical additional use cases inside the same tenant:
- HR: automated generation of employment contracts, certificates, confirmations from Word templates
- Sales: offer PDFs with cover page, "confidential" watermark, terms-and-conditions appendix via merge
- Procurement: order confirmations, supplier contracts, automated splitting of consolidated invoices
- Accounting: automated PDF conversion and storage of all receipts for audit-proof archiving
- Marketing: whitepaper and one-pager generation from central templates
- IT/Compliance: report PDFs from Power BI exports with branding, watermark and distribution list
- Project management: status reports filled from templates, signed, sent to customers
This makes Encodian Flowr in combination with Power QMS one of the most investment-safe connector decisions: even if Power QMS is only one part of the tenant usage, the connector quickly pays off via the other departments.
Data handling & compliance
- Encodian processes documents temporarily – contents are not stored after execution
- Processing in EU data centres selectable (relevant for GDPR / DSG)
- No training data usage, no AI analysis of contents
- ISO 27001 certified
- Audit trail via Power Automate run history
Conclusion
SharePoint and Power Automate are the right platform for controlling documents – but not for enriching them. Watermarks, stamps, merge, split, OCR and filled templates require a specialised connector.
Encodian Flowr closes this gap without own code, without own server and with a licence model that becomes economically attractive through tenant-wide reuse. Combined with Power QMS, a fully automated document lifecycle emerges – from creation through release and stamped distribution all the way to audit-proof archiving.
