How quickly can we actually try Power IMS?

Accepted Answer

We set up the 30-day trial in your tenant – including demo data. All Power IMS modules (except Power QMS for the Power Platform) are native Microsoft Teams apps. Because deployment in your Microsoft 365 tenant is more involved due to security requirements, we install the app together with you, connect your SharePoint and optionally load demo data. That lets you test for 30 days with no obligation. For a productive go-live including configuration, pilot and training we typically plan 2–3 months.

Is SharePoint really audit-ready?

Accepted Answer

Yes – with the right mechanisms, which Power IMS provides. SharePoint Online provides the technical foundation (versioning, permissions, audit logs in Microsoft Purview). The Teams apps add everything else an audit-ready management system needs: controlled approval workflows, digital signatures, read & acknowledgement confirmations, change history, standard coverage analysis and tamper-evident storage. The result holds up in ISO 9001, ISO 27001 and IATF audits.

Do we need extra licences or infrastructure?

Accepted Answer

No – a standard M365 plan with Teams and SharePoint is enough. The Teams apps require no additional Power Apps or Power Automate licences, no VMs, no databases and no on-premise components. All you need is an M365 plan per user that includes Teams and SharePoint (e.g. Business Standard/Premium or E1/E3/E5). Only the legacy variant Power QMS for the Power Platform additionally requires one Power Apps Premium and one Power Automate Premium licence for technical operation.

Where is our data – and who has access?

Accepted Answer

Exclusively in your own M365 tenant, in SharePoint. Documents, processes, audit findings, actions and master data live in SharePoint lists and libraries inside your Microsoft 365 tenant, in the region you chose (e.g. Switzerland or EU). The Teams apps store no content data. Only users you authorise have access – authenticated via Entra ID / SSO.

Is Power IMS GDPR and DSG compliant?

Accepted Answer

Yes – your content stays entirely within your tenant. Because content remains in your own M365 tenant, the same data protection standards apply as for the rest of your Microsoft 365 environment (GDPR, DSG). For operating the apps we conclude a data processing agreement (DPA) including a sub-processor list with you – all documents are available in the Legal & Compliance area. On request we support you with records of processing activities and impact assessments.

What happens if we stop using Power IMS one day?

Accepted Answer

Your data stays in your tenant – no vendor lock-in. All content lives in SharePoint lists and libraries within your tenant. After uninstalling the Teams apps it remains fully accessible and exportable (Excel, CSV, PDF). There are no proprietary data formats, no migration into a foreign cloud and no data loss.

How much training do our employees need?

Accepted Answer

Low – people work directly in Teams, in a process-guided interface. Users stay in their familiar environment: modules appear as apps or tabs inside Microsoft Teams (or in the browser). SharePoint only serves as the data store in the background. Thanks to guided setup, demo data, global search and multilingual UI, a 1–2 hour onboarding per role (e.g. auditor, document owner) is typically enough. Optional training days are available for key users and admins.

Can we adapt Power IMS to our processes?

Accepted Answer

Yes – via settings, master data, roles and branding inside the app. The Teams apps are standard products, which keeps them update-safe. Adjustments are made through built-in configuration: categories and master data, roles and permissions, approval and escalation steps, notifications and reminders, process templates and CSV import as well as your own branding (logo, stamps). Deeper individual extensions are available as a project service or via the Power Platform variant of Power QMS.

Do we have to roll out all modules at once?

Accepted Answer

No – start with one module; Power Hub ties everything together. Every module works standalone and is licensed individually. Many customers start with Power QMS or Power Audit and later add Maintenance, CI, Safety or Risk. When you buy at least one Teams-based module, Power Hub is included free of charge as a cockpit that consolidates tasks, KPIs and access across modules. With several modules, bundle discounts apply on top.

Purchase or rental – which fits us better?

Accepted Answer

Both: one-time purchase or annual rental, tiered by number of users. With a one-time purchase you own the licence permanently. Annual rental offers a lower initial investment. Maintenance & Basic Support are mandatory for both models and charged separately at 15% of the respective module price per year. Both models are tiered by user count and can be calculated transparently in the pricing calculator – including bundle discounts and setup.

What about updates and new features?

Accepted Answer

Via mandatory Basic Support for purchase and rental – no migration projects. Support & Maintenance is available in two tiers: Basic Support (15% of the licence fee per year) with patches, technical support and 8h response time, and Extended Support with an additional 10h maintenance contingent for updates and adjustments. New app versions are deployed as a Teams app update without overwriting your configuration or your data in SharePoint. Without maintenance, the module remains permanently usable in the version you purchased.

Which AI features are included?

Accepted Answer

AI support inside the apps – e.g. interview guides and translations. Selected modules ship with built-in AI support, such as AI-assisted interview guides and mapping of meeting notes in Power Audit, or translations of documents and master data. Because content lives in your SharePoint, it is additionally accessible to M365 tools such as Copilot if you have licensed them. No content is transmitted to unrelated third parties.
