What is AI Support in Power IMS?
AI Support adds intelligent features to Power IMS modules, such as summaries, classifications, extractions or draft document creation. It is optional per module and can be added or removed at any time. Data processing runs through our secure gateway infrastructure.

Fair-Use Allowance
To keep AI usage predictable, each licensed user includes a fair-use allowance. Usage is counted in weighted AI interactions, managed as a shared pool for your entire organisation.
500 AI Interactions per User and Licence Year
The total allowance is 500 interactions × number of licensed users. It applies to the current licence year and is pooled company-wide – individual users have no separate limit.
Only AI Features Pause
Once the pool is used up, further AI calls are declined – no partial execution and no silent provider switch. The rest of the software remains fully functional.
Additional Allowances on Request
If you need more, we can flexibly extend your allowance. Prices and tiers are discussed individually.
Repeated calls of the same feature within two minutes (for example a translation processed in blocks) count as one interaction. For exceptionally large content, one additional interaction is counted per 20,000 extra tokens started.
How AI interactions are counted
Depending on the effort of a feature, a weight is deducted from the allowance. The default weights in Power QMS for Teams:

Administrators can adjust the weights per tenant in the settings if your usage profile differs.
Transparency and data protection
Usage visible at any time
A dedicated allowance view in the settings shows the annual allowance, consumption per AI feature, the remaining balance and the licence year. Warnings appear from 80 %; from 100 % AI usage is blocked.
No content in the counting
Only tenant ID, feature name, counters and timestamps are stored for counting – no user names, no inputs, no document content.
Tamper-proof counting
Counting data is stored centrally in our cloud database, not in the customer tenant, and is deleted automatically after 24 months.
What does AI Support cost?
AI Support is optional and calculated per module. In rental mode the surcharge is 10 % of the annual rental price; in purchase mode it is 3.3 % of the purchase price per year.
The price refers to the respective module and is billed together with the bundle discount for multiple modules. All prices are exclusive of VAT.
