Why Power QMS is predestined for AI with Copilot Studio agents

How the SharePoint-based data layer of Power QMS forms the ideal foundation for Copilot Studio agents – including implementation, architecture and licensing (pay-as-you-go vs Microsoft 365 Copilot).

Why Power QMS is uniquely AI-ready

Most QMS solutions on the market store their data in proprietary databases – often in the vendor's cloud, often with their own permission model. That is exactly the hurdle on which AI projects fail today: the content is digital, but not machine-accessible for the AI tools the company has already licensed anyway.

Power QMS goes the opposite way: all controlled documents, processes, distribution groups, read confirmations and metadata live natively in SharePoint Online – inside the customer's own Microsoft 365 tenant. This means QMS content sits exactly where Microsoft Copilot, Copilot Studio and Microsoft 365 Copilot can already read, index and answer.

This is not a coincidence but an architectural decision: SharePoint is not just storage, it is also the index, permission and audit source for the entire Microsoft AI platform.

    The three technical levers

    1. Microsoft Graph as a shared data plane

Every document in Power QMS is reachable via Microsoft Graph – with versioning, metadata, permissions and activity log. Copilot Studio agents access exactly this Graph interface, with no data copy, no ETL process and no vector reindex required.

    2. SharePoint permissions are honoured 1:1

A Copilot agent only sees the documents the requesting user is allowed to see. Site, department and role logic from Power QMS automatically apply to the AI answer. No parallel permission model, no "AI sees more than the human" risk.

    3. Metadata & content types provide semantic context

Power QMS uses structured metadata (document type, process, site, valid-until, version). These fields are directly usable by Copilot – the AI can filter for "only the currently valid version" or "only documents for site Zurich" without hallucinations.

Concrete use cases for Copilot agents on Power QMS

    • QMS assistant for employees: "Which work instruction currently applies to incoming goods at site Lucerne?" – answered with a source link to the released version
    • Audit preparation agent: "List all documents related to ISO 9001 chapter 7.5 released in the last 12 months" – including read-confirmation status
    • Onboarding agent: New employees ask the agent in Teams for the mandatory documents of their role – the agent distributes them automatically through the existing distribution logic
    • Supplier agent: Answers questions from external suppliers about released requirement documents – with a clear separation "public vs internal"
    • Complaints & CAPA agent: Structured capture of complaints directly in chat, automatic classification and routing into the right Power App instance

    Implementation step by step

    Step 1 – Check prerequisites

    • Power QMS productive in your own tenant
    • Microsoft 365 with SharePoint Online (E3/E5 or Business Standard/Premium)
    • Copilot Studio licence or pay-as-you-go binding to an Azure subscription
    • Clean metadata structure in Power QMS (site, process, document type, version) – pre-configured by default

Step 2 – Create the agent in Copilot Studio

New agent of type "Knowledge agent" with the following knowledge sources:

    • SharePoint site(s) of the Power QMS hub
    • Optionally: Teams channel for Q&A history
    • Optionally: an additional FAQ document with tonality and example questions

    Step 3 – Define actions & topics

    • Standard topics for the most common questions (document search, version lookup, owner)
    • Custom actions via Power Automate for write operations (e.g. "set read confirmation now")
    • Escalation to a human QM officer as fallback

    Step 4 – Publish & distribute

    • Publish as a Microsoft 365 Copilot agent (appears in the Copilot chat) or
    • Embed into a Teams channel as a bot or
    • Standalone web chat e.g. on the intranet homepage

    Step 5 – Governance & monitoring

    • Usage analytics directly in Copilot Studio
    • Activate feedback (👍/👎) on the agent – feeds into topic improvement
    • Regular review of answers by the QM officer as part of continual improvement

    Licensing – explained realistically

Microsoft offers two economically very different models for Copilot agents. The choice strongly drives total cost of ownership.

    Option A – Pay-as-you-go (message-based)

Copilot Studio is bound to an Azure subscription. Billing happens per conversation / message package:

    • Classic messages (answers without generative action): cheaper, easy to forecast
    • Generative messages / agent actions: more expensive because AI tokens are consumed
    • Pro: low entry cost, ideal for pilots and smaller user groups
    • Con: at heavy use the cost scales linearly with traffic

Realistic for a mid-size QMS user group (e.g. 200 active users, 5–10 queries/week): a few hundred Swiss francs per month.

Option B – Microsoft 365 Copilot per user

With a Microsoft 365 Copilot licence per user (~CHF 30/month) the employee automatically gets access to the agents built in Copilot Studio – including the Power QMS knowledge source.

    • Pro: flat rate per user, no surprises at heavy use, full Microsoft 365 Copilot scope (Word, Excel, Outlook, Teams etc.) included
    • Con: only sensible if Copilot is meant to be used broadly anyway – otherwise oversized

    Hybrid in practice

Many customers start with pay-as-you-go for a pilot user group (QM officers, auditors, site owners) and roll out Microsoft 365 Copilot more broadly later, once the business case is proven.

What does Power QMS cost on top?

Nothing. The AI integration requires no additional Power QMS licence – all needed data and permissions are already cleanly structured by the module. Power QMS stays a one-time licence, the AI cost runs separately under the chosen Microsoft model.

    Data protection & compliance

    • All data stays inside your own Microsoft 365 tenant – no transfer to Power Manufaktur or third parties
    • Copilot respects SharePoint permissions – GDPR / DSG remain intact
    • Audit trail available via Microsoft Purview – every AI answer is traceable to source and user
    • Training data is not fed back into the Microsoft foundation model

    Conclusion

Power QMS is predestined for AI because its architecture has already done the homework: data in SharePoint, permissions clean, metadata consistent, versions controlled. These four points are exactly the prerequisite for Copilot Studio agents to deliver reliable, verifiable and audit-ready answers.

Whoever runs Power QMS does not need to build a new platform for AI in quality management – a Copilot agent can be productive within days, with predictable licence cost and without data leaving the own tenant.
