Implementing ISO 9001 with Microsoft 365 – step by step

How to map the requirements of ISO 9001:2015 with built-in Microsoft 365 tools – from document control to audit planning and management review.

Why Microsoft 365 as a QMS platform?

Most organisations already own Microsoft 365 licences. Instead of running a parallel standalone QMS, almost every requirement of ISO 9001 can be mapped with the existing services – if you know which function belongs where.

The 7 key requirements of ISO 9001 in M365

    1. Context of the organisation (clause 4)

    • SharePoint site as central "QM hub"
    • Stakeholder list in a SharePoint list
    • Interested parties matrix as an Excel workbook in Teams

    2. Leadership & policy (clause 5)

    • Quality policy as a versioned page in the QM hub
    • Responsibilities as a role matrix inside the Teams app
    • Management commitment via Teams announcement

    3. Planning (clause 6)

    • Risks & opportunities as a SharePoint list with scoring columns
    • Quality objectives as Planner plans with KPIs
    • Change management via guided approval workflows

    4. Support (clause 7)

    • Document control with versioning, approval workflow, read confirmation and multi-language support (e.g. via Power QMS)
    • Training via Microsoft Viva Learning
    • Competency matrix in SharePoint

    5. Operation (clause 8)

    • Navigable process map as a tree structure (e.g. via Power QMS) instead of static Visio diagrams
    • Distribution of controlled documents via freely configurable distribution groups (mail, Teams, Viva Engage)
    • Supplier evaluations as a SharePoint list
    • Complaint management as a complementary Power App or third-party solution

    6. Performance evaluation (clause 9)

    • KPI dashboards in Power BI
    • Internal audits as a structured audit process (e.g. via Power Audit)
    • Management review as a recurring Teams meeting with templated agenda

    7. Improvement (clause 10)

    • CAPA process as a complementary Power App or third-party solution
    • Lessons learned as a wiki in the QM hub
    • Improvement suggestions via a Microsoft Forms form

    Common pitfalls

    • Permissions: SharePoint permission inheritance must be planned deliberately; otherwise auditors see documents they should not
    • Versioning: by default SharePoint only stores major versions – for ISO 9001 minor and major versions must be enabled
    • Audit trail: Compliance Center / Purview must be enabled to prove change history
    • Search & findability: without clean metadata and content types the QM hub quickly becomes chaotic

How Power QMS concretely covers ISO 9001

Power QMS is not a standalone tool but a pre-configured solution running directly in your Microsoft 365 tenant. Out-of-the-box it covers the following ISO 9001 requirements:

    • Document control (clause 7.5): versioning with mandatory comments, parallel approval workflows, automatic read confirmations per recipient and version – including evidence list for auditors
    • Multi-language documents (clause 7.5.3): automated AI translation of controlled documents so sites in DE/EN/FR work from the same master version
    • Distribution & announcement (clause 7.4): freely configurable distribution groups via mail, Teams and Viva Engage – every release reaches defined recipient groups in a traceable way
    • Process map (clause 4.4): navigable tree structure instead of static Visio diagrams – every process is linked to controlled documents, owners and KPIs
    • Site & department logic (clause 4.3): configurable metadata for sites and departments so the scope is mapped cleanly per document
    • Competency & training (clause 7.2): read confirmations also serve as training evidence per employee and document version
    • Audit trail (clauses 7.5.3 / 9.2): complete history across versions, approvals, distributions and read confirmations – directly exportable from the module

Power QMS deliberately does not include CAPA, complaint management or external standards conformity – these are covered via complementary Power Apps or third-party solutions, so the core (document and process control) stays lean and audit-ready.

Two paths to an ISO 9001 compliant QMS in M365

    Build it yourself

Full flexibility but a long design, build and maintenance effort. Realistically 6–12 months of project work and a dedicated internal team – implementing reliable read confirmations, multi-language support and a navigable process map alone consumes much of that.

Power QMS as a pre-configured module

Document control, read confirmations, multi-language support, process map and distribution groups are productive from day 1. Setup in days instead of months, one-time licence from CHF 9'900 instead of annual subscription costs, data stays in your own M365 tenant.

    Conclusion

ISO 9001 with Microsoft 365 works very well – provided the architecture is well thought through before the first document. Those who want to save time pick a pre-configured module; those who need maximum customisation build it themselves. In both cases the data stays in the customer's tenant.
