AI-assisted quality management with Microsoft 365 and Power IMS

    How generative AI in Microsoft 365 (SharePoint, Teams, Power Platform) automates QM tasks: document summarisation, audit preparation, CAPA analysis – and what Power IMS delivers today.

    Why AI in quality management makes sense right now

    Quality management is still highly text-heavy: procedures, audit reports, deviations, complaints, management reviews. That is exactly where generative AI performs – it summarises, compares, classifies and drafts. The key point: AI does not replace quality accountability, it removes the busywork in front of it.

    If your QMS already runs on Microsoft 365, most of the groundwork is done. Content lives in SharePoint, collaboration and processes happen in Teams. AI sits right where the data already is – with no export into a third-party system.

    The four levels of AI in a QMS

    1. Understand – summarise and compare documents

    • Turn long procedures into short versions for shop-floor staff
    • Compare two document versions and name the substantive changes
    • Match standard clauses against internal documentation ("where is evidence for clause 8.5 missing?")

    2. Generate – drafts instead of blank pages

    • First draft of a work instruction from bullet points
    • Audit question set from a process description and the relevant clause

    3. Organise – classify and tag

    • Pre-sort complaints by defect type, product group and severity
    • Suggest metadata for new documents (process, scope, owner)

    4. Translate – multilingual without a translation project

    • Bring documents and audit reports into the language of each site
    • Keep terminology consistent across plants

    Where the building blocks sit in Microsoft 365

    SharePoint

    SharePoint is the content layer. Content types, metadata and versioning create the structured basis AI needs. Without clean metadata, every AI query returns arbitrary hits – data quality is a prerequisite, not a side effect.

    Microsoft Teams

    Teams is the interaction layer: questions about documents, approval discussions, audit meetings. AI assistants can be used right in the working context instead of in a separate portal.

    Power Platform (Power QMS for Power Platform variant)

    Power Automate orchestrates the flows (approval, deadlines, escalation), Power Apps provides the interface, and Copilot Studio or AI Builder actions embed AI steps directly into existing QM workflows. Our main use of this today is AI-generated document summaries: when a document is stored or updated, a flow creates a short summary and writes it back as metadata – so search does not only hit file names and full text, but immediately shows what a document is about.

    Microsoft 365 Copilot

    Copilot works on the content the individual user already has access to. SharePoint's permission model stays fully in force – a major compliance advantage over uploading QM documents into an external AI tool.

    Three concrete use cases

    Audit preparation

    Instead of manually collecting reports, actions and process documents, preparation is generated from what exists: open actions from last year, findings on the same process, documents changed since the last audit. The auditor reviews a draft question set rather than researching from scratch.

    CAPA and root cause analysis

    Here an agent mainly supports the preparation of a CAPA case: it reviews the case description, pulls in similar earlier cases, proposes a pre-classification and delivers a structured draft for immediate action and possible causes. The actual root cause analysis and the decision on actions stay with the quality owner – the agent removes the research and writing work in front of it.

    Document control

    An agent is strong at two things here: identifying differences and deviations – between two revisions, or between a document and the process as actually lived – and providing summaries, so reviewers and readers grasp the content quickly without reading the full document.

    What Power IMS delivers today

    Power IMS builds on exactly these blocks – the AI runs in the customer's own tenant, not in a foreign system:

    Limits and governance

    • No blank cheque for approvals: AI produces drafts. Review and release stay with the named owner – every standard and every audit requires this.
    • Traceability: who approved what and when? The audit trail must document the human decision, not the AI suggestion.
    • Data protection: GDPR and the Swiss DSG apply unchanged. The advantage of the M365 route: content never leaves the tenant.
    • Data quality first: an unstructured file dump does not improve through AI, it only becomes faster to search.

    A pragmatic start

    1. Pick one use case – usually audit preparation or complaint classification, because the effort there is visible.
    2. Clean up the data basis – define content types and metadata for that area properly.
    3. Pilot with one team – four to six weeks, with a measurable metric (e.g. preparation time per audit).
    4. Fix the governance – who reviews AI output, what gets logged.
    5. Roll out – only then extend to further processes and sites.

    Conclusion

    Generative AI does not turn a QMS into a different system – it lowers friction in the existing one. The biggest leverage is where text is searched, read and rewritten today: audit preparation, CAPA and document control.
